The Department of Health is looking for an energetic and self-motivated individual who can lead the daily activities of a fast-paced mail and supply operations. We have an immediate opening for a Clerical Assistant 3 within the Bureau of Health Statistics and Registries, Division of Vital Records, the official custodian of vital records dating back to 1906 for the Commonwealth of Pennsylvania. If you have the ability to lead daily mailroom and clerical activities and can work in a fast-paced environment, this may be the job for you!

In this role, you will be responsible for leading the daily operations of the mailroom. This includes ensuring compliance with standard operating procedures, protocols, and requirements while maintaining timely and accurate processing of all mail. Your duties will include distributing work assignments; analyzing incoming non-standard forms, applications, and correspondence to determine appropriate response or routing; and escalating concerns with actionable recommendations when processing times are at risk to prevent delays and maintain operational efficiency. This position also monitors inventory, orders supplies, and assists with fulfilling orders from internal and external stakeholders for various types of records and certificates. Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 7:00 AM to 3:00 PM, Monday - Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: In some cases, the starting salary may be non-negotiable.

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or 
  • One year of moderately complex clerical experience; or 
  • An equivalent combination of experience and training.
