To support those needs, the Chief Technology Officer (CTO) group is responsible for Agile Transformation, Enterprise Architecture, Services, Development and Cloud Enablement (DCE), Enterprise Application Hosting Services (EAHS), Enterprise Services and Product Management (ESPM), and Chief Operating Office (COO) Business Services & Risk and Governance.

We are looking a well-rounded, collaborative, and process-oriented individual with high standard of excellence to join the team as an executive administrative assistant to support two CTO executives (Head of Agile Transformation and Head of Development and Cloud Enablement).  

Responsibilities include:

  • Executive support – Understanding nuances of keeping leader on track with daily schedules and routines, e.g. ensuring preparation for meetings, timely start/end to meetings, meeting materials are ready, etc.
  • Calendar management – Pro-actively manage leader’s calendar, prioritizing meetings and events to maximize leader effectiveness
  • Meeting logistics – Coordinating and managing meeting agendas and other supporting materials for leader and effectively planning off-sites/Town Halls and team events (conference rooms, zoom, telepresence, video conference, vendor access, etc)
  • Email – Assisting in managing and organizing leader’s email inbox, maintaining email distribution lists
  • Phone calls – Answering, screening, taking messages, or routing calls appropriately
  • Documentation – Handling personal and confidential company materials with sensitivity and discretion
  • Onboarding/Offboarding – Completing necessary administrative tasks to onboarding (hardware/software, day 1 artifacts, etc) and off board team members, including accesses, equipment, etc.
  • Space planning – Coordinating team member space needs with Corporate Properties
  • Proxy – Navigate various internal systems to include serving as proxy for the following systems: Time Tracker, EPAR, D1P, MRS, WFA, ICCARD, T.O.P.$
  • Office supplies – Ordering/managing/distributing office supplies
  • Travel - Handle travel reservations, changes & emergency travel situations in HRG system; provide itineraries
  • Expenses - Track and process of invoices and/or expense accounts
  • Procedures - Establishes and implements office procedures and control
  • Ability to work extra hours as needed


Required Qualifications
  • 5+ years of administrative support experience


Desired Qualifications
  • Knowledge and understanding of SharePoint
  • Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and events
  • Intermediate Microsoft Office (Outlook, Excel, Word, PowerPoint, LiveMeeting and SharePoint) skills
  • Experience supporting senior level leaders/executives
  • Administrative support exposure; preferably within Wells Fargo supporting senior level executives
  • Strong organizational, multi-tasking, and prioritizing skills
  • Strong attention to detail and accuracy skills
  • Experience reading, analyzing, and interpreting documents/reports
  • Ability to research and report on a variety of issues using problem solving skills
  • Highly refined and professional verbal and written communications
  • Ability to handle confidential material in a professional manner
  • Ability to be proactive, innovative and creative in meeting customer and enterprise needs
  • Ability to prioritize work, meet deadlines, achieve goals, and work under pressure in a dynamic and complex environment


Other Desired Qualifications
  • 5+ years of executive administrative support experience
  • Ability to anticipate needs of leaders as they conduct critical tasks
