Description Carnegie Mellon University is dedicated to creating and disseminating knowledge through research. The Office of Sponsored Programs (OSP) contributes directly to this mission by providing comprehensive support to faculty and staff in the administration of externally sponsored research. OSP's Primary functions include Proposals, Contracts, and Awards.

Our OSP team is searching for a part-time Contract Administrator. This is an exciting opportunity for someone who thrives in an interesting and challenging work environment. You will contribute to the department by performing an initial assessment of documents received to determine next steps to assist the Contracts Officers, and Contract Analysts in reviewing and negotiating agreements.

In this role you will be an integral member of the Contracts Team in OSP and will be responsible for the oversight of the Office of Sponsored Programs mailbox dedicated to outgoing subcontracts.

Core responsibilities include:

  • Monitoring the OSP subcontracts mailbox and routing and responding to incoming requests in a timely manner.
  • Reviewing and assessing incoming requests to determine the appropriate assignment.
  • Collaborating with the OSP Subcontracts Team to ensure proper assignment of agreement requests.
  • Logging requests into the appropriate databases.
  • Initiating agreement records within OSP’s Contract Management System (CMS).
  • Communicating with departments and other stakeholders to gather necessary information and documents.
  • Collaborating with other members of the Intake Team to assign agreements and serving as backup for the primary OSP mailbox.
  • Referencing other systems and databases to screen new assignments for compliance concerns.
  • Maintaining the integrity of data stored in the CMS and other related databases.
  • Gathering data and preparing reports on the status and management of the contract negotiation lifecycle.
  • Drafting correspondence.
  • Assisting other functional units within the Office of Sponsored Programs with processing proposals, awards, and subcontracts as needed.

Qualifications:

  • Education: Bachelor’s degree
  • Years of experience: 1-3 years of experience in a professional work environment. Prior experience in higher education is helpful, but not required.
  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.
