Description Federal and State Programs Coordinator

Position Summary
Working from the Harrisburg, PA (Capital Campus) Family Service Center, the Federal and State Programs Coordinator will work under the supervision of the Executive Vice President of Operations towards ensuring that we are cognizant of and pursuing all public and private grant opportunities appropriate and available to CCA, including Federal and State grants available to public schools. This position also ensures CCA is fulfilling all tasks required for compliance with statutes, regulations, rules, policies, and procedures relating to Federal and State programs and grants. This position will work closely with various school administrators and staff, including the school’s Business, Human Resources, Family Services, Special Education, Technology, and Learning Departments, School Principals, the Vice President/Provost, the Executive Vice Presidents, and the President and CEO.

  • Research and demonstrate proficient knowledge of Federal and State accountability programs and grants, and perpetually research grant opportunities for CCA;
  • Remain up-to-date on the changing laws and requirements regarding Elementary and Secondary Education Act (ESEA) and the Public School Code and disseminate the information to system-wide and school personnel in a timely manner;
  • Plan, coordinate, implement and evaluate federally funded and grant programs;
  • Prepare and administer the Federal, State and other grant program budgets and applications, including the development of goals & objectives for each grant;
  • Provide compliance oversight of Federal grants (e.g., Title IA, IIA, IVA, IDEA, and other Federal grants, State grants, local grants, and private grants);
  • Review and analyze student academic, attendance, demographic, and other data to make recommendations concerning utilization of grant and other school funds;
  • Collaborate with teachers to develop programs, activities, and events geared to reach the families and students qualifying for grant program services;
  • Work with families of enrolled students to plan parental/family components of grant and other assigned programs;
  • Collaborate with CCA staff to plan professional development, training, and workshops for staff, families, or the community as needed;
  • Maintain data, reports, and information as required for audits and collaborate with CCA staff in preparation for audits;
  • Deliver budget status updates to leadership for all grant programs on a monthly basis or as otherwise requested;
  • Share information and conduct staff professional development and training on the interpretation, implementation, and requirements for program compliance;
  • Attend state and regional meetings, workshops, and conferences to seek out new strategies in increasing parent involvement, student learning opportunities, and grant compliance;
  • Travel state wide as needed to promote student programs; and
  • Perform other duties as assigned.

Requirement Credentials:
  • Bachelor’s degree;
  • Minimum of 2 years of experience in Federal education grant program administration and oversight or similar experience;
  • Technologically proficient (especially with Microsoft OS and MS Office programs);
  • Excellent communication skills, both oral and written;
  • Demonstrated customer focused approach;
  • High degree of flexibility and adaptability; and
  • Demonstrated ability to work well in fast paced environment

Preferred Credentials
  • Master’s degree;
  • Pennsylvania educator certification, administrator certification, or school business administrator certification;
  • Valid and active Pennsylvania education administrator certification;
  • Minimum of 5 years of experience in Federal education grant program administration and oversight;
  • Familiarity working with local organizations; and
  • Involvement with student programs and events.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands
This is largely a sedentary role. Requires the ability to lift, squat, sit, bend or stand as necessary. Ability to travel to other sites/locations as needed. Ability to report to a family service center to conduct work
