Learner Residency Coordinator

Position Summary:

Working from one of CCA’s Family Service Centers, the Learner Residency Coordinator is responsible for ensuring that all students enrolled in Commonwealth Charter Academy meet residency requirements as outlined by state and CCA policies. This role involves reviewing, and verifying residency documentation, as well as communicating with families to clarify requirements and resolve any discrepancies. The coordinator is also responsible for tracking and managing information related to students traveling out of the state or country. The coordinator will facilitate communication with families and school staff and maintain accurate records of student travel plans to promote safety and accountability.

Key Responsibilities:
  • Assess and Review Documentation:
    • Review residency documentation from families, including utility bills, lease agreements, and government identification.
    • Assess documentation for authenticity and compliance with CCA policies.
    • Monitor and document all student travel, including dates, destinations, and purpose of travel.
  • Communication:
    • Provide support to colleagues and families in managing residency-related and travel-related inquiries and issues.
    • Communicate with school staff, district officials, and families to resolve residency issues.
    • Communicate travel policies and procedures to parents and school staff.
    • Provide timely updates to relevant parties about any changes to travel plans.
    • Collaborate with the Business Office to resolve district residency disputes.
  • Data Management:
    • Input and maintain accurate data in the student information system related to residency status.
    • Generate reports as needed for administrative purposes and compliance with state regulations.
  • Policy Compliance:
    • Review travel requests and supporting documentation for completeness and accuracy.
    • Work with school administration to establish and implement residency and travel guidelines complying with CCA policies and procedures.
  • Safety and Risk Management:
    • Collaborate with school officials to assess potential risks associated with student travel.
    • Monitor emergency contact information and travel itineraries for students traveling out of state or country.
  • Problem-Solving:
    • Investigate residency disputes and discrepancies, conducting follow-ups as necessary.
    • Identify trends or issues related to student travel and make recommendations for improvement.
  • Training and Support:
    • Assist in training school staff on residency verification and travel processes and policies.
    • Other duties as assigned.

Qualifications:
  • Education: High school diploma or equivalent; associate or bachelor's degree preferred.
  • Experience: Previous experience in a school setting or similar administrative role preferred. Familiarity with residency regulations and policies is a plus.
  • Skills:
    • Strong organizational skills and attention to detail.
    • Excellent verbal and written communication skills.
    • Proficient in Microsoft Office Suite, project managements tools, and student information systems.
    • Ability to handle sensitive information with confidentiality and integrity.
    • High degree of flexibility
    • Demonstrated ability to work well in fast paced environment;
    • Team player track record

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands:

This is largely a sedentary role. Requires the ability to lift, squat, sit, bend or stand as necessary. Ability to travel to other sites/locations as needed.
